Personal Data concerning you is processed by Roomee as data controller when you have the following status: prospect, contact/administrative referent to allow the management of the commercial relationship.

As part of the management of the commercial relationship with our customers and prospects, our trusted third party service providers act as subcontractors according to our instructions and on our behalf only (tool for managing our customer base, tool for electronic contract signature, sending newsletters, sending newsletters, sending newsletters, statistics on the use of the Platform, statistics on the use of the Platform, sending statistics on the use of the Platform, sending of satisfaction questionnaires, calculation of the customer satisfaction rate: Net promoter score...)

Data that you send directly to Roomee

You can provide us with information that concerns you during the various contacts we have with you, in particular:

• When downloading a white paper or case study,
• When registering for a “webinar”,
• When creating an account on our Sites and applications (registering for a free trial or a paid subscription),
• When registering for the newsletter.

This data includes your name, first name, email address, email address, socio-professional category, password, information about your role within the company, it may also be your telephone number, profile photo, link to your Linkedin/x profile if you complete them on the Platform or information that you enter when you leave a review on the Platform or a comment on the Blog.

Data collected during your commercial relationship with Roomee

They are the data that you communicate to us:

This data is in particular the name, first name, e-mail address, socio-professional category of the commercial contact, HR or any person who can enter into a relationship with Roomee for the proper execution of the services entrusted to Roomee, as well as any information that you would like to communicate to us.

With regard to orders, this is information relating to your means of payment (bank card number, expiry date of the bank card, visual cryptogram) through a secure payment provider, which has sole access to this data.

Data that is collected automatically by Roomee

During each of your visits to our sites and applications, we collect information relating to your connection and your navigation via cookie technology (for more information on cookies in title II below).

Exclusion of sensitive data

So-called “sensitive” data is data that reveals racial or ethnic origin, political opinions, religious or philosophical beliefs, union membership, data relating to health or sexual orientation. Roomee does not collect any about you.

Your personal data is kept for a period of time in accordance with legal provisions or in proportion to the purposes for which they were recorded. Some retention periods meet the legitimate interest of Roomee as specified in the introduction. Below you will find the main retention periods for your data.

Data relating to a prospect

• Data category: Prospect data sets (name, first name, email, SP category, etc.)
• Purposes: Management of a prospect file, contact for demonstrations, and the sending of marketing communication
• Retention period: 3 years from the date of data collection or the last contact from the prospect

Data relating to an End User of the Platform

• Data category: All the data of your own Users, whether internal or external, as long as they have been authorized (employees, partners, external service providers)
• Purpose: Fulfilment of a contractual obligation
• Retention periods: Duration of the contractual relationship, of the free trial and up to 4 months and 30 days (back-up) from the end of said relationship.

Data relating to an active customer

• Data category: All customer data entered in the Purchase Form, at the time of subscription (name, first name, email, SP category)
• Purposes: Customer account management
• Retention periods: Unless you request deletion, until the expiration of a period of 3 years following the end of your contract and subject to applicable legal provisions

Data relating to an inactive customer

• Data category: Identification and contact data — Newsletter subscribers
• Purpose: Sending information on the evolution of our publications and our offers
• Retention period: 3 years maximum from the date of unsubscription or the last contact from the customer

Data generated by cookies

• Data category: Data related to your browsing on our online services
• Purposes: Operation, optimization of services, attendance measurements, content personalization, advertising.
• Retention period: 13 months maximum

Roomee

Your data is accessible by some Roomee teams. These teams only have access to the data necessary to perform their functions and are not authorized to process the data for other uses. They are also subject to an obligation of confidentiality for this purpose.

Your entity

Your data according to your “role” on the Platform is accessible by your employer, and Extended Roles who benefit from the right to administer the Platform.

Our service providers/Personal Data Subcontractors

Your data is accessible to the service providers we use to subcontract all or part of the processing that we carry out with your data (hosting the Platform and data, maintenance, sending order confirmation emails, emailing, secure payment, etc.).

The subcontractors we use present the guarantees required by the applicable regulations on the protection of personal data. They only have access to the data necessary for the performance of their services and are not authorized to process your data for other uses.

Some processing operations that we entrust to our subcontractors are carried out outside the European Union. The transfers of your data are carried out securely and in compliance with the applicable data protection regulations in force.

We have taken steps to ensure an adequate level of protection for your data, regardless of where it is processed, for example by using standard data transfer clauses, or any other method approved by the European Commission (with European Union data protection legislation considered to be the most effective in the world) and/or National Data Protection Authorities. We also require our third party partners to comply with applicable data transfer obligations, for example by entering into standard contractual data transfer clauses, with respect to the personal data they receive.
